Privacy Policy

This policy explains how Btape handles personal information when builders use our platform to run inspections, track deficiencies, and manage Tarion compliance.

1. Who we are

Btape (“Btape”, “we”, “us”) is a software platform operated by [Legal Entity Name], based in Ontario, Canada. We provide tools for Tarion-registered Ontario residential builders to manage Pre-Delivery Inspections (PDIs), deficiency tracking and resolution, and warranty/compliance workflows.

This policy applies to personal information we handle through the Btape website and application. We are committed to handling personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario law.

2. Our role: builders' data vs. our own

Most personal information in Btape — for example details about homeowners, purchasers, site staff, and trade contractors entered during inspections and deficiency tracking — is provided and controlled by the builder organization that uses Btape (our “Customer”). For that information, Btape acts as a service provider that processes data on the Customer's behalf and under their instructions. If you are a homeowner, purchaser, or trade and have questions about that data, please contact the builder you are working with.

For information about our own account holders and website visitors (for example, the person who signs up for Btape), Btape is the organization responsible for that personal information.

3. Information we collect

  • Account & organization information: name, work email, phone number, role, organization name, and builder/Tarion registration details you provide when creating or managing an account.
  • Project and inspection data: projects, units, inspection records, checklists, deficiencies, statuses, assignments, notes, dates, and uploaded photos and documents.
  • People records: contact details for homeowners, purchasers, site contacts, and trade contractors that Customers add to manage closings and deficiency resolution.
  • Usage & device data: log data, IP address, browser/device information, and product analytics used to operate, secure, and improve the service.
  • Cookies & similar technologies: used for authentication, security, and basic analytics (see Section 8).

4. How we use information

  • Provide, operate, and maintain the Btape platform and its features.
  • Authenticate users, secure accounts, and prevent fraud or misuse.
  • Send service communications, including assignment and share-link notifications to trades and inspection participants.
  • Provide customer support and respond to requests.
  • Improve, troubleshoot, and develop new product features.
  • Comply with legal obligations and enforce our terms.

5. How we share information

We do not sell personal information. We share it only as needed to run the service:

  • Within a Customer's organization, based on roles and permissions configured by that Customer.
  • Service providers (subprocessors) who help us operate Btape — such as cloud hosting, file storage, email delivery, and analytics providers — under contracts that limit their use of the data.
  • Recipients of secure share links (for example, a trade contractor assigned to a deficiency), limited to what is needed for that task.
  • Legal and safety reasons, where required by law or to protect rights, safety, and the integrity of the service.
  • Business transfers, in connection with a merger, acquisition, or sale of assets, subject to this policy.

6. Data storage, location, and security

We use reasonable physical, technical, and organizational safeguards appropriate to the sensitivity of the information, including encryption in transit, access controls, and multi-tenant data isolation. Some of our service providers may store or process data outside of Canada, including in the United States; where that occurs, the information may be subject to the laws of those jurisdictions. We take steps intended to ensure a comparable level of protection.

7. Retention

We retain personal information for as long as needed to provide the service, and as required to meet legal, accounting, warranty, or compliance obligations. Customer data is retained according to the Customer's instructions and our agreement with them; we delete or de-identify information when it is no longer required.

8. Cookies

Btape uses cookies and similar technologies that are necessary for authentication and security, and a limited set used to understand usage and improve the product. You can control cookies through your browser settings, though disabling some may affect how the service works.

9. Your privacy rights

Subject to applicable law, you may request access to, or correction of, your personal information, and you may ask questions about how it is handled. If your information was provided to Btape by a builder organization, we will refer your request to that Customer, who is responsible for that data. To make a request, contact us using the details below.

10. Children's privacy

Btape is a business tool and is not directed to children. We do not knowingly collect personal information from children.

11. Changes to this policy

We may update this policy from time to time. We will post the updated version here and revise the “Last updated” date above. Material changes will be communicated as required by law.
